We are currently looking to fill two vital roles within our organization: a Receptionist based in Addis Ababa and a Store Keeper based in Jimma. Receptionist – Addis Ababa
The Receptionist at Ovid Trade House is much more than just a greeter; you are the face of our company, the first impression our visitors, clients, and employees receive. In this pivotal role, you will be responsible for managing the front desk operations with professionalism and courtesy, ensuring a welcoming and efficient environment. You will play a crucial role in coordinating communication between departments, handling inquiries, and providing essential administrative support. This position requires exceptional communication skills, a positive attitude, and the ability to handle multiple tasks simultaneously.
Your primary responsibility will be front desk management, which includes warmly welcoming visitors, directing them to the appropriate personnel or departments, and maintaining a clean, organized, and presentable reception area. You will also be responsible for managing all incoming phone calls, screening them appropriately, and forwarding them to the relevant individuals. Taking accurate and timely messages is also a crucial part of this role. Furthermore, you will handle inquiries from employees and visitors efficiently and professionally, providing accurate information and assistance as needed.
Beyond handling visitors and phone calls, you will also be responsible for managing mail and courier services, including receiving and sorting incoming mail, packages, and deliveries, as well as coordinating outgoing mail and courier services. You will provide vital administrative support by maintaining appointment schedules, managing meeting room bookings, and assisting with filing, data entry, and other clerical tasks as required. You may also be asked to support the HR or General Service teams with routine requests. Finally, you will be expected to perform other related duties as directed by your supervisor, contributing to the overall efficiency and effectiveness of the office operations. To be successful in this role, you should possess a Bachelor’s Degree (BA) in Management, Business Administration, or a related field, along with 3–5 years of experience in a similar role, preferably in a corporate environment.
Store Keeper – Jimma
As the Store Keeper for Ovid Trade House in Jimma, you will be at the heart of our supply chain operations. Your responsibilities will encompass the entire spectrum of warehouse management, from receiving and storing goods to distributing them efficiently while meticulously maintaining accurate inventory control. You will play a crucial role in ensuring the smooth flow of materials and products, contributing directly to the success of our import and export activities. This position demands meticulous attention to detail, strong organizational skills, and a commitment to maintaining a safe and efficient warehouse environment.
Inventory management will be a cornerstone of your role. You will be responsible for maintaining accurate and up-to-date inventory records for all incoming and outgoing goods, utilizing appropriate software and manual systems as needed. Regular stock checks and reconciliation of discrepancies in inventory records will be essential to minimizing losses and ensuring accurate stock levels. Implementing and maintaining effective inventory control measures will be crucial to preventing stock shortages or overstocking, contributing to cost savings and operational efficiency. You will also be responsible for ensuring proper stock rotation (FIFO/LIFO) to minimize wastage and obsolescence.
Receiving and inspecting incoming goods for quantity, quality, and compliance with purchase orders will be another vital responsibility. You will need to ensure that all received items are documented properly and discrepancies are reported immediately to the appropriate parties. Coordinating with procurement and suppliers regarding any damaged or missing items will be crucial to resolving issues promptly and efficiently. Maintaining a clean, organized, and safe warehouse environment, where all materials and products are stored properly and securely according to storage guidelines, is also paramount. Finally, you will label and categorize goods for easy identification and retrieval, streamlining the issuance and distribution process.
Issuance and distribution of materials to relevant departments will be your responsibility, ensuring timely delivery to meet operational needs. You will maintain proper documentation for all issued and returned items, ensuring accurate tracking and accountability. You will also prepare regular inventory reports and submit them to the Local & Import/Commercial Manager. Assist in preparing monthly and annual stock reconciliation reports. You will coordinate with suppliers and transporters to ensure timely delivery of materials, working closely with the procurement and logistics teams to facilitate smooth operations. Ensuring proper handling and storage of goods to prevent damage or deterioration, adhering to company policies, safety guidelines, and regulatory requirements and conducting regular safety checks and reporting any hazards or risks in the storage area. A Diploma or BA degree in Supply Chain Management, Logistics, Business Administration, or a related field, along with 1-3 years of experience in warehouse/storekeeping, preferably in a commercial or import/export environment, is essential for success in this role.
